Moving from a spreadsheet to dividi means replacing a shared file with a structured app routine. Start with the current month, not old history.
A spreadsheet can work for a while because it gives both partners one place to add numbers. The friction usually appears later: duplicate versions, unclear formulas, missing edits, and a monthly conversation built around cells.
dividi uses a different language: Joint Account, bills, split, transfer, Budget, cards, and goals.
What should change before you enter numbers?
Agree on the structure first. A spreadsheet row can mean anything. In dividi, each bill carries details the app uses later: account, amount, category, type, recurrence, split, payer, card, and goal link when needed.
Start with three decisions:
- Personal or Joint Account: Personal is individual. Joint Account is the shared space for partners.
- One row becomes one bill: Use familiar names at first so both of you can recognize the move.
- No CSV import: The current path is manual setup, followed by Copy bills in later months.
That last point is worth saying plainly. dividi does not import Excel or CSV. The goal is not to paste a messy table into the app. The goal is to make the first clean month easier to maintain.
Step 1: Set up the Joint Account first
If you manage money together, the Joint Account should come before dozens of bills.
Create the account, confirm the members, and set the split percentages. The percentages must total 100%. A 50/50 split works for some couples. A proportional split, such as 70/30 or 60/40, works when your agreement is based on different incomes or another shared rule.
The key is order. If the split is wrong first, every shared bill after that needs more review.
For a detailed walkthrough, use Proportional split in dividi.
Step 2: Enter the current month’s fixed bills
Do not start by migrating five years of history. Start with the current month or the month you remember best.
Add rent, internet, utilities, subscriptions, insurance, daycare, and other recurring bills first. In the bill form, choose whether the bill is fixed or variable and whether it should appear again in future months.
Fixed recurring bills keep their amount when copied. Installments follow the number of months configured. Variable monthly bills can reappear with a zero amount so you can enter the real value later.
Step 3: Separate who pays from who covers the cost
Spreadsheets often have a “paid by” column. dividi makes that distinction part of the bill.
In a Joint Account, you choose the split and the payer. The split answers who covers the cost. The payer answers who actually paid outside the app. If one partner pays the full bill but the cost belongs to both, dividi can make that amount available in the transfer balance.
That keeps the settlement conversation cleaner. You are not arguing over memory; you are reading how the bill was registered.
Step 4: Use Copy bills after the first organized month
Once one month is organized, Copy bills in dividi replaces the spreadsheet habit of duplicating a tab.
It can copy fixed bills, active installments, and recurring monthly variables from recent source months. One-time variable bills stay out. Variable monthly bills arrive with zero amount so you can update them.
This is where the manual setup starts paying back. The first month takes attention; the next cycle starts with a reusable base.
Step 5: Keep categories consistent
Categories make Budget and summaries more useful. Pick the same category for the same kind of bill whenever possible.
If every grocery bill is categorized the same way, the monthly view becomes easier to compare. If one restaurant bill is under dining and another under entertainment, the Budget conversation gets fuzzier.
The app can highlight likely category shortcuts based on the bill name, but the final choice is still yours.
Step 6: Add Budget after bills have shape
Budget works best after the month has enough bills to read.
In dividi, Budget starts from a 50-30-20 structure: Needs, Desires, and Savings & Goals. You can adjust the percentages and decide which categories belong to each pillar.
The statuses make the spreadsheet color code more explicit:
- On track: spending is within the plan.
- Watch out: usage is near the limit.
- Over budget: registered bills passed the defined Budget.
The full guide to Smart Budget statuses explains how to read those states without turning them into blame.
Step 7: Add cards and goals when the base is stable
Cards and goals are easier after the main month is not changing every hour.
Cards help group bills by statement. You create a card label with bank, nickname, network, and color, then link bills that belong on that card. dividi does not store the real card number or CVV.
Goals help turn planned spending into progress. Create a Joint Account goal, then link the bills that should contribute to it. The guide to shared goals in dividi covers that setup.
FAQ
Can I import an Excel or CSV file into dividi?
No. The current product path is manual setup. After the first organized month, Copy bills helps repeat fixed bills, active installments, and recurring monthly variables.
Where should a couple start?
Start with the Joint Account and split percentages. Then add fixed bills for the current month. Historical cleanup can wait until the monthly routine is clear.
Can we use a spreadsheet and dividi at the same time?
You can during a short transition, but set an end date. Keeping two sources of truth usually creates more friction than one early mistake in the app.
How long does migration usually take?
It depends on how many bills you track. A practical first pass is one focused session for the current month, followed by two or three monthly cycles to build confidence.
What should stay out of the first migration?
Old history, one-time purchases you will never review, and over-specific spreadsheet categories. Bring in what helps this month first.
Next step
Choose one source of truth for the current month. Set up the Joint Account, add the fixed bills, and review the first Budget only after the bills are readable.
